Lesson 1: System Cleanup Before Automation

Before ROLO turns on advanced routing, sequencing, and Auto-Dispatch, the system must be clean. Automation only works when driver, vehicle, service, client, and order data are accurate.

ROLO Rule

ROLO does not automate chaos. First clean the system, then train the team, then automate.

Step 1: Clean Active Driver Records

Where: Operations → Drivers

What to do

  1. Open every driver profile.
  2. Confirm the driver status is correct: Active or Inactive.
  3. Confirm the driver phone number is correct.
  4. Confirm personal email is entered.
  5. Confirm Delivery Center is correct.
  6. Confirm vehicle type is assigned correctly.
  7. Deactivate old, duplicate, or inactive drivers.

Why this matters

Drivers are the foundation of dispatch. If driver records are wrong, ROLO cannot accurately assign work, track drivers, run MobileTek, build routes, or use Auto-Dispatch.

ROLO Standard: Every active driver must have a clean profile, correct vehicle type, valid contact information, and correct Delivery Center before they are used in dispatch.

Step 2: Confirm MobileTek / Wireless Device Access

Where: Operations → Wireless Devices

What to do

  1. Confirm every active driver has MobileTek access or an assigned wireless device.
  2. Remove unused or old devices.
  3. Assign missing devices to active drivers.
  4. Confirm each driver can log in.
  5. Confirm each active driver appears on the Dispatch Map.

Why this matters

If ROLO cannot see the driver, ROLO cannot properly dispatch, sequence, track, or automate. GPS visibility is required for efficient routing and future Auto-Dispatch.

Non-Negotiable: No driver should be considered dispatch-ready unless they are visible through MobileTek or the Dispatch Map.

Step 3: Clean Vehicle Types

Where: Tariff Builder → Vehicle Types

  • Car
  • Van
  • Box Truck
  • 2-Man / White Glove

What to do

  1. Review all existing vehicle types.
  2. Remove or deactivate duplicates.
  3. Keep only vehicle types ROLO actually uses.
  4. Match every driver to the correct vehicle type.

Why this matters

Vehicle type controls dispatch eligibility, capacity, pricing, service type matching, and driver assignment. Wrong vehicle data creates wrong dispatch decisions.

Step 4: Clean Service Types

Where: Tariff Builder → Service Types

  • Same Day
  • Routed / Scheduled
  • White Glove
  • Medical

What to do

  1. Review all current service types.
  2. Remove unused or duplicate services.
  3. Confirm each service has clear operational meaning.
  4. Set service availability windows.
  5. Set order cutoff times.
  6. Set pickup and delivery warning times.
  7. Set service padding times where needed.

Why this matters

Service type controls urgency, customer expectations, pricing, dispatch priority, routing logic, and driver selection. Clean services make dispatch faster and more reliable.

Step 5: Clean Package Types

Where: Tariff Builder → Package Types

ROLO Standard Package Types

  • Envelope
  • Small Parcel
  • Box
  • Large Box
  • Pallet
  • White Glove Item
  • Medical Specimen

What to do

  1. Review all package types.
  2. Remove duplicates.
  3. Keep names clear and operational.
  4. Add default weight or dimensions if used for pricing.
  5. Confirm package types are available to the correct Delivery Center and clients.

Why this matters

Package types affect pricing, capacity, scanning, warehouse handling, and route planning. Clean package data helps prevent driver confusion and delivery errors.

This lesson is complete when every active driver, device, vehicle type, service type, and package type is clean, accurate, and ready for routing.
