Lesson 3: Pricing, Zones, Accessorials & Revenue Protection

This lesson ensures ROLO is charging correctly, protecting margin, and setting the foundation for routing and automation. Bad pricing = lost money. Broken zones = bad dispatch.

ROLO Rule

If pricing is wrong, everything is wrong. Do not move to automation until pricing and zones are verified.

Step 1: Audit Pricing Schemes

Where: Tariff Builder → Pricing Schemes

What to do

  1. List all pricing schemes currently in the system.
  2. Identify which clients are using each scheme.
  3. Confirm scheme type:
    • Mileage
    • Zoning
    • Direct Zip
  4. Confirm each scheme has valid Service + Vehicle combinations.
  5. Confirm no missing rule gaps (this causes unrated orders).
  6. Confirm secondary scheme chain is logical (no loops).

Why this matters

If a pricing scheme does not match an order, the system fails to rate correctly → leads to manual overrides → lost revenue → inconsistent billing.

High Risk: Missing Service/Vehicle combinations = orders will NOT price correctly.

Step 2: Confirm Mileage Method

Where: Pricing Scheme Settings

ROLO Recommendation

  • Use Google Maps OR PC*Miler Streets (if available)
  • Avoid Air Mileage for final-mile billing

What to check

  1. Confirm mileage method is consistent across schemes.
  2. Check for overrides in Stored Mileages.
  3. Verify high-frequency lanes for accuracy.

Why this matters

Mileage drives pricing. If miles are wrong → pricing is wrong → margin disappears.

Step 3: Clean Zoning Schemes

Where: Tariff Builder → Zoning Schemes

ROLO Florida Zone Structure

  • Palm Beach County
  • Broward County
  • Miami-Dade
  • Treasure Coast (if used)

What to do

  1. Review all existing zones.
  2. Remove duplicates or unused zones.
  3. Confirm zip codes are correctly assigned.
  4. Align zones with real driver operating areas.
  5. Mark zoning schemes for routing (if using Route Builder).

Why this matters

Zones are used for:

  • Routing logic
  • Driver assignment
  • Pricing
  • Dispatch segmentation
ROLO Standard: Zones should match real operational geography, not random zip groupings.

Step 4: Review Accessorial Charges

Where: Tariff Builder → Accessorials

Critical Accessorials

  • Wait Time
  • After Hours
  • Fuel Surcharge
  • Heavy Item / Special Handling

What to do

  1. Confirm wait time rules (grace period + per minute rate).
  2. Confirm after-hours time windows.
  3. Confirm fuel surcharge is active.
  4. Confirm driver pay is defined where needed.
  5. Confirm accessorials are attached to pricing schemes.

Why this matters

Accessorials are where ROLO protects margin. Without them, extra time, fuel, and labor go unpaid.

Step 5: Configure Delivery Center Surcharges

Where: Delivery Center Options → Surcharges

What to do

  1. Create or confirm fuel surcharge.
  2. Set % or flat rate.
  3. Apply by Service + Vehicle.
  4. Set driver share if applicable.
  5. Use date ranges if pricing changes seasonally.

Why this matters

Surcharges apply automatically across all orders. This is the easiest way to protect margin at scale.

Step 6: Validate Pricing with Test Orders

What to do

  1. Create test orders for:
    • Short distance
    • Medium distance
    • Long distance
  2. Test multiple services and vehicles.
  3. Confirm pricing matches expectation.
  4. Confirm accessorials trigger correctly.
  5. Confirm driver pay calculates correctly.

Why this matters

Never assume pricing is correct. Testing prevents billing errors and lost revenue.

Step 7: Check Stored Mileages

What to do

  1. Review stored mileage overrides.
  2. Identify incorrect manual entries.
  3. Fix or remove bad overrides.

Why this matters

Stored mileage overrides can silently break pricing across repeat lanes.

Hidden Risk: One bad stored mileage can affect hundreds of orders.
