Lesson 6: Teams Mobile

Staying Connected on the Go

Purpose

The Microsoft Teams mobile app allows you to stay connected, respond quickly, and manage communication when you are away from your desk.

How to Access Teams on Mobile

  1. Download Microsoft Teams from the App Store or Google Play
  2. Open the app
  3. Sign in using your company email
  4. Allow notifications so you receive real-time updates

Main Sections in Mobile

  • Activity: Notifications and mentions
  • Chat: Direct messages
  • Teams: Channels and group communication
  • Calendar: Meetings and schedule

Daily Use Expectations

  • Keep notifications turned ON
  • Check Teams regularly when away from your desk
  • Respond to messages quickly during active operations
  • Stay updated on dispatch and operational changes

Using Teams on Mobile

  • Use Chat for quick direct communication
  • Use Teams (channels) for updates that others need to see
  • Reply quickly to messages
  • Use voice-to-text if typing is slow

Voice-to-Text (Recommended)

  • Tap the message box in Teams
  • Tap the microphone icon on your phone keyboard
  • Speak your message clearly
  • Review the text before sending
ROLO Standard: Use voice-to-text for speed, but always send clear written messages. Do not rely on voice recordings for operational communication.

Assigning backup driver now.
Will confirm once route is covered.

Meetings on Mobile

  • Join meetings directly from the Calendar tab
  • Use headphones when possible
  • Mute when not speaking
  • Stay engaged during the meeting
  • If you are mobile, use your phone and keep notes ready
  • Be prepared to speak and provide updates even when not at your desk

ROLO Communication Standard (Critical)

  • All driver call-outs must be communicated in Microsoft Teams
  • All team updates and operational messages should be communicated using Teams
  • ROLO has a team-wide channel for all members
  • Do not rely on text messages or verbal communication alone

Due to the nature of our business, communication must be consistent and reliable at all times.

Important: If you are scheduled or responsible for operations, you are expected to be reachable and responsive in Teams.

  • Ensures full team visibility
  • Prevents missed updates and service failures
  • Allows faster response to issues like driver call-outs
  • Keeps operations running smoothly

Common Mistakes

  • Ignoring notifications
  • Delayed responses while away from desk or phone
  • Sending unclear messages
  • Not posting updates in the correct place
